Office and Client Relations Coordinator
Retrouvaí is seeking a highly organized, personable, and proactive Office and Client Relations Coordinator to join our growing team. This hybrid role is ideal for someone who thrives in a dynamic environment and is passionate about providing exceptional service while supporting smooth daily operations.
As the Office and Client Relations Coordinator, you will be a key behind-the-scenes contributor to operational excellence. You’ll serve as the first point of contact for prospective and existing clients, ensuring their experience with our company is above and beyond. In addition to managing client communications and appointments, you’ll also play a vital role in coordinating day-to-day office operations, administrative tasks, and team support to help maintain an efficient and inspiring workspace.
Key Responsibilities
Customer Service
· Serve as the first point of contact for our clients, both in person and via phone/email, always providing exceptional service.
· Assist customers with inquiries about specific pieces, orders, repairs, and general information.
· Process sales orders, returns, and exchanges accurately in our system.
· Maintain a thorough understanding of our collections and services offered to provide knowledgeable and effective assistance.
· Assist in maintaining our studio appearance and ensuring a luxurious, client-friendly environment.
Office Management
· Manage safe organization and office supplies, ensuring that inventory is tagged and organized and that any supplies are ordered as necessary.
· Assist with scheduling and calendar management.
· Help to coordinate trunk shows, meetings, and appointments.
· Handle incoming and outgoing mail, packages, and deliveries.
· Support in keeping the office organized, clean, and well-maintained.
Qualifications
· High school diploma or equivalent (bachelor’s degree preferred but not required).
· Previous customer service or retail experience.
· Strong communication skills (both verbal and written) and excellent phone etiquette.
· Friendly, approachable, and professional demeanor.
· Ability to multitask, prioritize, and manage time effectively.
· Detail-oriented with strong organizational skills.
· Comfortable working in a fast-paced, dynamic environment.
· Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and customer management software.
· Interest in/passion for fine jewelry and fashion.
